Workforce Planning System

The Resource Management Office (RMO) at Kabam Games used a manual spreadsheet to manage personnel project assignments and headcount information for financial payroll forecasting, which were error prone. These inaccuracies resulted in numerous corrective cycles, frustration, wasted productivity, and incorrect financial forecasts, necessitating an overhaul to improve productivity and alignment between RMO and Finance.

Sven took charge of the project, overseeing the design and development of a new workforce planning system. This system was integrated with Human Capital Management (HCM) and Applicant Tracking System (ATS) to ensure accurate and up-to-date personnel data. It also featured automated data integrity checks to comply with business rules and provided essential data extracts to support financial processes. Additionally, Sven spearheaded change management efforts, overseeing the transition period and promoting proper information management practices.

The new system became the definitive source-of-truth for headcount information, even including data from personnel from an acquisition not yet integrated into HCM. With this system, the company now enjoys a reliable and accurate view of all personnel details and their assignments. The collaboration between Finance and RMO has flipped from repetitive error correction to focusing on strategic workforce planning, significantly enhancing productivity and decision-making.
